Facilities Support Assistant

Job purpose

Oversee/ensure the delivery of a FM support services within NHS Property Services premises in line with policies and procedures and as detailed in work schedules and as directed by the Service Manager.

Lead on specific aspects of day to day facilities services within agreed financial framework and drive quality and performance standards to provide customer focused cost effective and efficient facilities support service.

Key duties and responsibilities of the role
1. Through day to day planning and co-ordination manage the provision of facilities services within NHS PS premises to ensure maintenance of service levels.

2. Provide a safe and clean environment for patient care in accordance with health & safety and compliance requirements, “NHS National Specification of Cleaning Standards” COSHH, Patient Led Assessments of the Care Environment (PLACE) and NHS Property Services policies and procedures.

3. Liaise and effectively communicate with tenants, site representatives and staff in order to update any changes and additions to policies, procedures and systems, which will ensure the effective delivery of facilities to staff and visitors, including business continuity plans within NHS PS properties.

4. Proactively monitor, evaluate and audit the service provision within NHS PS properties to ensure a high standard is maintained.

Key result areas
1. Ensure costs for rechargeable services provided are collated and produced in line with NHSPS financial instructions.

2. Ensure regular audits are carried out within a defined area.

3. Supervise and coordinate the work of contractors and manage own staff ensuring that agreed work has been completed satisfactorily and follow up on any deficiencies.

4. Plan and commission the operational delivery of new premises and refurbishments in line with strategic business objectives.

5. Act as the key day to day contact for the function, liaising with occupants eliciting their co-operation or informing them of works, activities and developments.

6. Provide data to support the CAFM or FM electronic systems in operation.

7. Contribute to the planning for future developments in line with strategic business objectives.

8. Manage and lead change to ensure minimum disruption to core activities.

9. Direct and plan essential central services such as reception, security, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling as required.

10. Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement.
